Thank you for considering booking a Cotswolds tour with us. We are a tiny business that strives to offer our guests the best possible experience. Please read through this information carefully, we hope the information below is useful but please just ask if you have any questions

Cotswolds Guided Tours - Terms & Conditions

Basics:

Cotswolds Guided Tours (also referred to in these booking conditions as “we”, “us” and “our”) accepts you (also referred to in these booking conditions as “the Client”) booking under the following terms and conditions. When making a tour reservation with Cotswolds Guided Tours you (and any other person(s) including children accompanying them on the tour) agrees to be bound by these terms and conditions.

Travel Insurance:

It is the guest's responsibility to ensure they have the relevant travel insurance to cover their trip. If for any reason you have to cancel your booking with us then please do ensure your travel insurance covers you for your tour. Travel insurance is there to ensure that you; the client, protected if you have to cancel your trip for any reason. We (Cotswolds Guided Tours) assume all guests have travel insurance.

Tour
Reservation

Tour reservations can be made via the 'Booking Enquiry' form or via email. Upon receipt of your request, we will check your date is available & send through a confirmation email, detailing your specific itinerary & confirming the cost of your tour.

It is the guest's responsibility to provide correct contact information, if we are unable to reach you because your email address has been inputted correctly then we will be unable to confirm your reservation. We respond to all tour requests within 24 hours. If you do not hear from us within 24 hours, please email Lucy on hello@cotswoldsguidedtours.co.uk

Tour
Deposit:

For all tours booked in 2024 we are requesting a deposit at the time your reservation is made. This deposit is non-refundable & is for the specific date you have requested.  Tour deposits are required within 48 hours of making a reservation to secure your tour date(s). If the deposit payment is not received your tour date will be cancelled. The remaining balance for your tour is required 8 weeks before your tour date.

(If your tour dates falls within 8 weeks of making a reservation the full tour price is chargeable at the time of booking.)

The Mixed Group 'North & South' Cotswold tour requires a deposit of £50 per person.

Tour Balance
Payment:

Tour payment is required in full 8 weeks before your tour date. Invoices will be sent electronically for secure payment. Guests must complete the payment by the date shown on their invoice. If payment is not received, then your tour date will be cancelled and offered to the next person on the waitlist &/or re-advertised for sale. The deposit will not be refunded if you fail to pay the balance of your tour.

 

The remaining balance amounts due once the deposit has been received:

The Mixed Group 'North & South' Cotswold tour, balance is £250 per person

Seating on the Minibus

The Mixed Group 'North & South' Cotswolds tour is shared with other travellers up to a maximum of 7 guests. 

​

The seating configuration in the minibus is as follows: 1 seat in the front (next to the driver), 3 seats in the middle row, 3 seats in the back row

​

All seats are forward facing. 

​

Seating in the minibus is not allocated. All guests are expected to rotate seats to ensure that travellers can take turns to sit in the front / middle & the back of the minibus.

​

It is the guests responsibility to ensure they are able to board the minibus unaided. (There is a 45cm step up from the ground into the vehicle.) 

​

If you suffer from motion sickness, have any mobility issues that may cause difficultly accessing the vehicle please contact us. It may be that a private tour is more suitable for you.

Fitness Requirement

The Mixed Group 'North & South' Cotswolds tour is shared with other travellers up to a maximum of 7 guests. 

There is a set, allocated amount of time to explore each location on the tour. During this 'free time' you can walk as far or as little as possible. However a general level of fitness is required.

As a guide we would say that guests walk the following amounts on each day:

On Day 1, guests walk between 12,000-15,000 steps spread across 10 locations (7miles approx.)

On Day 2, guests walk approximately 10,000 steps spread across 4 locations (5 miles approx.) 

​

If you have any concerns please contact us. It may be that a private Cotswolds tour is more suitable for you.

 Cotswolds Tour Collection / Return Points

The Mixed Group 'North & South' Cotswolds tour only offers collection from Moreton in Marsh Railway Station. On day 1 the tour leaves from Moreton in Marsh at 9.30am. On day 2 the tour leaves at 9am. It is important that guests are at the station prior to the departure times, we would advise arriving 5 - 10 minutes earlier. The tour will depart promptly at the designated time each day. Failure to be at Moreton in Marsh Railway Station at the designated time may result in the tour starting without you. Unfortunately if the tour has departed we will be unable to return to collect you. If this occurs no refund will be provided.

If we have to cancel your tour:

In the unlikely event that we cancel your reservation then any monies paid by you 'the client' will be refunded back to the original card through which the payment was made, this includes the deposit payment. No further liability by Cotswolds Guided Tours to the client with regard to the cancellation will arise. This tour will only proceed with a minimum of 2 guests booked on. If only one guest is booked 4 weeks before the tour, then the tour date will be cancelled and a full refund will be provided.

If you have to cancel your tour:

If you have to cancel your tour reservation, please do so via email at the earliest opportunity. 

We try to be as fair as possible if a cancellation needs to be made we are happy to liaise with your travel insurance provider. As we only have one vehicle & can only provide one tour per day, we may have turned away other guests for your tour date. Tour dates are non-transferable. Dependent upon the number of days left before your tour date, our refund policy varies:

Tour payments are required in full 8 weeks before your tour date. 

​

If you need to cancel once the 'Balance Payment' has been made: 

The remaining balance payment is required 8 weeks before your tour date. This is the advertised price of the tour, minus the deposit. The amount you will be refunded varies depending on how much notice you provide. The date is calculated from your first tour day with us.

If you cancel once your tour has been paid (within 8 weeks of your tour date)

The refund is on a sliding scale:

56 - 42 days before your tour, 75% of your balance payment will be refunded 

41 - 28 days before your tour, 50% of your balance payment will be refunded 

27 - 21 days before your tour, 20% of your balance payment will be refunded 

20 days or less before your tour date, no refund will be provided.

The initial deposit made at the time of making your reservation is non-refundable. (The percentage above is referring to the monies paid 8 weeks before your tour date.)

*It is expected that all guests have travel insurance. We appreciate that the unexpected could happen meaning you are unable to travel. If you have a valid reason for cancelling your tour date then it should be covered by your insurance. 

Passenger 
Responsibility

It is the client's responsibility to ensure they arrive at the meeting point on time. Contact details for the driver guide will be provided in your 'welcome email'. If you are running late & do not contact the driver guide, then I am afraid we are unable to wait for you. If the tour has started & you are not at Moreton in Marsh Railway Station this will constitute a 'no show' and you forfeit your tour. If this does occur, no refund will be provided.

 

There is an allocated time provided at each stop on the tour. If guests return late, the tour will continue without you. We will be unable to return to collect you & will not be responsible for any travel cost incurred by you returning to Moreton in Marsh. 

 

The Client agrees to comply with the laws and regulations of the United Kingdom and comply with all reasonable instruction, issued by Cotswolds Guided Tours relating to safety.

We do not accept responsibility for any delays caused by circumstances beyond our control and will not be liable for onward transport costs due to late return.

​

Cotswolds Guided Tours advises all clients to look after personal belongings whilst on the tour or out exploring the locations. We cannot be held accountable for any loss or damage to client's belongings during the tour. We are unable to accommodate luggage on the minibus, so please do not bring any luggage with you.

​

We are a Cotswolds based company, it is the guests responsibility to reach the collection point to start their tour. We are unable to offer refunds for guests who are unable to reach us due to circumstances beyond our control, for example if your plane, cruise ship, train or private transfer is cancelled, or if their is industrial action, engineering works or strikes that prevent you from reaching the Cotswolds / U.K

Beyond our Control

Cotswolds Guided Tours does not accept any liability for any loss, inconvenience or damage caused by war, threat of war, riot or civil commotion, terrorist or criminal activity, industrial disputes, strikes, natural disasters, fires, sickness, weather conditions, road or traffic conditions, explosion of, radioactive contamination from, any nuclear facility or other events beyond our control.
